YOUR MARKETING. WITH AN ACTUAL PLAN.
Less “what are we paying for?”
More “here’s what happens next.”
You have a clinic to run. You should not have to chase your marketing team to find out what is happening. Here is how we build the foundation, launch the work, and keep improving it. No mystery invoice energy.
Sample schedule · January–March 2027
These dates illustrate the scope below; they are not reserved launch dates or a live project tracker. Your working calendar is confirmed after kickoff. Timing depends on access, content, approvals, platform review, and any needed audience setup. Your signed scope determines what is included.
01 / JANUARY
Build the foundation
Account setup, branding guides, strategy, integrations, tracking, and training. Get aligned before we get loud.
02 / FEBRUARY
Launch + Track
Launch approved campaigns, establish reporting baselines, refine what needs attention, and add training as needed.
03 / MARCH +
Refine + Optimize
Review the numbers, choose the next problem worth solving, plan the work, and execute within the agreed scope.
Month 1: Setup + Alignment
A great ad cannot rescue a brand that feels like five different businesses. First, we get your vision, message, and systems on the same page.

*Retargeting: timing depends on tracking and a usable audience that meets Meta requirements. A tiny audience is not something we can fix by dramatically pressing “launch.”
Social ramp-up: article posts start with the article schedule. This example starts authentic in-office posts on Feb 15 so material delivered Jan 13 has at least 30 days of lead time. Once supplied on time, the normal cadence is two in-office posts plus two article posts per week.
Reactivation: the Feb 12 send requires topics no later than Jan 13 and a ready-to-use contact list. It is one monthly email/text campaign, not a daily blast. Later monthly send dates are agreed with you.
Month 3: Refine + Optimize
“We got leads” is the beginning of the conversation. We look at what happens next, then use the agreed work to improve the part holding you back.
March 2027 · sample ongoing month
Review the data. Pick the next bottleneck. Make the agreed update. Check whether it helped. Repeat. That is how we work toward a well-oiled marketing machine—not by changing twelve things and hoping one sticks.

The monthly loop: identify an opportunity → agree the action and how we will assess it → update the campaign, page, or workflow within scope → review what changed. March is an example of this rhythm; later months follow the same process with priorities based on actual data.
Content and capacity: the March 12 Reactivation send needs topics by February 10. In-office assets are due at least 30 days before each post. Website work stays within its four-hour monthly allowance; HighLevel customization and premium support has its separate four-hour allowance. The dated work blocks do not add extra hours or guarantee results.
Your part is small. It still matters.
Bring your vision, account access, offers, approvals, and real clinic content. We bring the plan and the agreed execution. If something is missing, we adjust the calendar together—no pretending a deadline can outrun missing information.
AI and automation may support processes, communications, content generation, and integrations. Anything outside the stated scope is billable at $125/hour. Standard terms and conditions apply.
NEW LEAD → NEW PATIENT
The click is cute.
The patient journey does the heavy lifting.
An ad gets the introduction. What happens after it is how interest turns into a booked consultation—and, when the fit is right, a treatment purchase.
Here is the path we help put in place.
01
GET NOTICED
Sees your ad and offer.
A local person sees a clear treatment offer and a reason to learn more. The first job: earn their attention.
Ad campaign
02
CAPTURE INTEREST
Claims the offer.
They fill in the Meta lead form to claim the offer. Now you have an inquiry to follow up with—not a booked patient just yet.
Lead form
03
START THE CONVERSATION
Gets email and text follow-up.
New-lead nurture explains the next step and shares the booking link. Interest gets a path forward instead of a quiet corner in your contact list.
New-lead nurture
04
MAKE BOOKING EASY
Schedules a consultation.
They click the link, open your online calendar, and choose an available consultation time. Fewer hoops. A clearer next move.
Online scheduling
05
SUPPORT THE SHOW-UP
Receives appointment reminders.
Appointment reminders keep the date, time, and visit details handy. Because a booking on the calendar still needs a person to walk through the door.
Appointment nurture
06
WELCOME THEM IN
Comes to the appointment.
Your team welcomes them, confirms the offer details, and guides them into the consultation. This is where the real clinic experience takes over.
Your clinic team
07
TURN INTEREST INTO CARE
Gets a consultation. Purchases treatment.
Your provider discusses their goals, assesses suitability, and recommends care. When treatment is appropriate and the person chooses to proceed, that new lead becomes a new patient.
Your provider + patient
Automation keeps the next step moving.
Your team makes it personal.
The ads, lead form, nurture, calendar, and reminders support the journey. Your clinic handles live conversations, questions, appointment attendance, consultation, and treatment decisions. We work together on the handoff so an interested person knows what to do next.
This shows the intended journey, not a guaranteed outcome. Some people need more time or a human answer before booking. Attendance and treatment purchases vary.
Your questions. Straight answers.
Who handles lead follow-up?
Your clinic needs someone accountable for conversations, booking, attendance, and updating Highlevel so we can get accurate reporting. We automate as much as possible but there are still small items that need human input from the clinic side.
What else will I pay?
Ad spend is the responsibility of the client and is paid directly to Meta and is separate from marketing management fees. Telecom fees are billed separately and dependent on actual usage with most average clinics spending about $25-50/month. Any items requested that are outside of the stated scope will be billable based on an hourly rate of $125.
What if I’m unsure which plan fits?
That’s what the conversation is for. Compare all three plans or tell us what your clinic is dealing with. No need to diagnose it alone.
EXPERIENCE MATTERS
You should know who you’ll be working with.
